Approve a request
What approvers see when Warde asks them to approve access, and what happens when they decide.
You are asked to approve a request when an approval policy names you: as the person's manager, as the owner of the access, as a member of an approving group, or by name. You do not need a special role.
Warde approvals are ordinary ServiceNow approvals. You decide the same way as for any other request: from the approval email, from My Approvals in your portal, or on the approval record.
Before you decide
Read the approval record's comments. When Warde has something for the approver, the approval's reason says so, and a comment headed Warde: before you approve gives:
- Important information for approvers, written by the application's owner;
- Access conflicts: whether the access clashes with what the person already holds, under your organisation's separation of duties rules. Items marked Not checked were not checked;
- Access this replaces: access the person will lose when this is granted.
If you use only the portal, My Access shows the same note beside each approval waiting for you.
Deciding
- Approve or Reject, with a comment if you reject.
- Everyone on a request is approved or rejected together. If one approver rejects, the whole request is rejected.
- Approvals run in stages. A later stage starts only after the one before it is approved.
- If you raised the request yourself and are also an approver, you may be asked like anyone else, or your submission may count as your approval, depending on your organisation's settings.
Delegates
If you will be away, set up a delegate in the platform with approvals included. Your delegate sees your approvals and decides for you, and the record shows who acted.
Approving access for a bundle
If you own an entitlement, you may be asked whether it can be included in an access bundle. The email Access bundle items waiting for your approval links to the items. Approve inclusion means people who get the bundle get your entitlement without asking you each time. Reject inclusion keeps it out of the bundle.
